Using Email on Your Phone - Don’t Use The Built-In App*

Using your email provider’s official app ensures a more reliable and hassle-free email experience on the go!

Lately at Computer Clinic, we've seen a rise in issues where clients are using the default email app on their smartphones with Microsoft 365 or Google email accounts.

Most of the time, the stock email app works just fine for our customers, often smoothly for years without any hiccups. But when issues do pop up, troubleshooting can be a bit of a mission. This is because using the first-party app with your specific email system tends to minimise long-term problems and gives you extra features that you wouldn't get otherwise.

That's why we always recommend using the email provider's app for the best experience. It ensures everything runs seamlessly and you get all the added functionality that comes with it. Below, we've listed the main email clients that are commonly used:

These are the main Email Apps on Smart Phones

  1. First on the list is Gmail - This is to be used if your Business Email System is Google Workspaces or your Personal Email Address ends with ‘@gmail.com’

Android Playstore Link: Gmail - Apps on Google Play

iOS App Store Link: Gmail - Email by Google on the App Store

  2. Next is Outlook - This is to be used if your Business operates Microsoft 365, or your personal Email Address ends with ‘@outlook.com’ or ‘@hotmail.com’

Android Playstore Link: Microsoft Outlook - Apps on Google Play

iOS App Store Link: Microsoft Outlook on the App Store

  3. Samsung Email is next, we don’t recommend using this app at all for business use. If you have an ‘@xtra.co.nz’ etc then this is fine for personal use.

  4. *Lastly Apple Mail. Apple has the best compatibility with Email providers with its Mail App, but it is still 3rd Party and random glitches & bugs can occur with either Google or Microsoft being the Email provider so we still recommend not using it with those platforms. However, Apple also provide a personal email service with ‘@icloud.com’ or ‘@me.com’ and in which case this is perfect.

In short, to ensure the smoothest, most reliable experience with your Email with your Smartphone, we always recommend using the official app provided by your email provider—Gmail for Google related accounts and Outlook for Microsoft 365 - both personal & work related. While default or third-party apps can work, they often fall short in reliability and support. Save yourself time and frustration by sticking with the apps designed specifically for your Email platform.
